The Importance of Good Data (e.g. Address, Title, Description, Photos, Video)

In this post, I want to share some knowledge with you, and explain why having good data is very important. I think good data comes in three forms, quantity, quality and accuracy. Often times people ask us how they can maximize their exposure and get more leads? What websites are we uploading listings to? Why can’t they find their listings? I hope to answer some of these questions here.

YGL automatically sync your listings to multiple websites, such as Hotpads, Google Real Estate and Oodle. We also run our own renter’s website PerfectUnits.com. These websites receive hundreds of thousands of listings from different sources daily, which often contain large amounts of duplications. The following rules are commonly required:

  • Listings must have titles and descriptions. Listings with no title nor description are rejected.
  • Photos help you rank higher. Each website has their internal ranking system to filter out duplications and low quality listings. Listings with good title / description and photos are displayed more prominently.
  • Duplications are bad. Each website has mechanisms to filter out the large quantities of duplicated listings they receive. If listings have the same photos, title and descriptions, they’ll be automatically filtered out. So it is important that each unit has their unique photos and description.In our case. We notice that many users keep only building photos and building descriptions. While this is a very effective way to make the Craigslist ads look decent with very little efforts, this practice is detrimental when it comes to other websites. For example, if you have 10 units in a building that has only a building description but no unique unit description, all 10 units will be rejected / filtered, because they have identical information which are considered duplications.
  • Accurate & Mappable Address. Some of the websites are map based, such as Hotpads. They require listings to have accurate address that can be located on a map. To you, this means to make sure the listing address you enter is complete and accurate. Do not use abbreviations such as Comm vs. Commonwealth. Spell out the street name completely  and include the “St.”, “Rd.” at the end. Make sure the zip code is entered or generated correctly. If you cannot map your listing on Google Maps, chances are neither can they.

In the newspaper advertising days, people do not expect up to date information from the ads. But in the Internet age, information is cheap and abundant. Young renters grow up with easy access to lots and lots of good information on the web. They demand good and accurate data. Almost all modern advertising platforms and efforts are built on the foundation of data.

One good way to check how your data rank among other agencies and brokers, look no further than our very own PerfectUnits.com. Do some simple searches, do you find your listings on there? Do your listings appear at the beginning of the search results? If not, it is because your listings are out ranked by others who have better information.

Keeping good data is a long term commitment, it will most certainly pay off in the long run. In the next blog post, I want to mention some YGL tricks to help you gather good data faster.

Large Ad Photos Preference + New Hide Announcement / Posts Options

Per client request, we just added two minor features to system.  Please check them out if you think it will be helpful for you.

Photo Size Reference on Your Ads

Some users prefer using large photos on their ads instead of smaller thumbnails.  You can now set a photo size preference for your ads.  You can get to it in Dashboard -> My Profile -> Ad Settings.  If you choose Large Photos as your preference, from that point on, full size photos (800 x 600) will be used in your ads.  The Parallel and TextCL templates, however, do not work with this setting because of design limitations.

Hide Announcements / Posts from Other Agencies

We also added an option to filter out announcements / posts from specific other YGL clients / landlords of your choice, if you do not care to see them.  This hopefully will keep you in control for your Dashboard Feeds.  When you hover over an announcement / post and click on the Hide icon, you will be promoted with an option to either hide a particular feed or all feed from that account.

Craigslist Tweaks: Select Default Craigslist Fee Section + Building Cross Street

We just added a couple minor Craigslist tweaks based on your suggestions.  Some of your have asked these things a while back, we apologize for the delay.

Select Your Default  Craigslist Fee Section

You can now select a default Craigslist Fee section you want to post to.  You will find this setting in Dashboard -> My Profile -> Personalize My Ads.  Once a default fee section is selected, when you post a new ad, the fee section will default to this setting regardless of the listing fee paid value.

Add Building Cross Street To Your Ads

We also added a Cross Street field to the ads allowing you to set a cross street to your Craigslist ads.  You’ll find a new field in the Ad Template page.  Your cross street selection will be saved to the building and applied to all other units in that building.

Setting a cross street has a couple benefits listed below:

  • Allowing renters to click on a map and see approximate location.
  • Allowing other map based websites that scrape Craigslist for data to pull in your listings to be displayed on a map, such as PadMapper.com.  Consider this as free advertisement.

New Notepad Reminders + Add Notes to Landlords

We added a small improvement to the Notepad feature we introduced recently, which allows you to add a comment/note to a deal.  Now, you can also set a reminder in the Notepad, which will show up on the Dashboard when the date reaches.

We also added the Notepad into the Landlord Details page.  Now you can easily add comments and reminders to a landlord.

Coming next, we’ll also be adding this to the Lead page.  Also, we are looking to integrate the reminder into Google Calendar.

Explore and Join The YGL Distribution Network

Many of you have asked for the ability to see who are distributing their listings through the YGL network.  We are very announce that it is now available.  This feature is accessible to YGL premium clients and clients who are distributing their listings through the YGL network.

You can access the YGL network through the Landlords tab.  You will see a new link called Browse Network.  Clicking on it will take you to a new page where you will see a list of landlords / management companies who you can request access to. See screen shots below for more information.

If you are currently distributing listings through YGL and wish not to be listed, you can update your account profile setting to private.  You will find this setting in your Account Profile page.

Add Your Comments to Announcements / Posts / Feeds

Many of our clients have asked for the ability to respond to announcements and posts made by other users in YGL.  We think it’s a great way to collaborate between agents in an office, and collaborate between landlords and brokers.

We just added the ability for our users to add comments to Announcements / Posts / Feeds on their Dashboard.  You will notice a new Add A Comment or Comment link on each of the feeds.  Clicking on that will allow you to post a comment for it.  Once a comment is posted for a feed, other users who can see this feed, will also be able to respond to your comment with their own.

Please note if an announcement / post is made by a user from a different YGL account, your comment to this feed can be read by that user and other YGL account users who also see this feed.

Ability to Unsubscribe From Announcements / Posts

Per client requests, we added the ability to unsubscribe to announcement / post emails from other YGL clients.  This way, you will be able to only subscribe to updates from clients you care about, and unsubscribe from the others.

You will notice an extra Unsubscribe link at the bottom of the announcement / post emails you receive from YGL.  Clicking on it and follow the instructions to unsubscribe.

Deal NotePad Feature For User Collaboration + Larger Photos

NotePad For Deals

Some users have requested we add the ability to add notes to a deal, so they can keep track of important information for their deals.  We have taken this request a step further by adding a new NotePad feature to each deal.  We are hoping to improve user / office collaboration on the deals, and better keeping your deals organized.

NotePad allows users to post notes / comments onto a deal to add additional pieces of information to share with other users.    It’s very similar to the Dashboard Feeds / Posts, except it’s for each deal.  For example, when an user calls the tenant, he/she can update others by posting a note onto the NotePad with the new information.

We will soon be implementing the NotePad feature onto the rest of the system, such as listings, landlords, and leads, allowing users to collaborate on all aspect of their rental process.  Please give us your feedback, we would love to know what you think of this.

Please note that Deal Activities are still available.  We moved it to the bottom to the Deal Details page.  You’ll notice an extra link Show Deal Activities.  Clicking on that link will show you the past activities.

Larger Photos

Based on client feedback, we also increased the size of the photos we store in our system.  Original we limit all photos to 600 x 400.  We have no increased the max. width or height to 800.  This will allow you to post bigger and more attractive photos.

Feedback + Questions From Brokers in YGL

We just added the ability for agents and brokers to send you feedback and questions directly on YGL.  When a user sends a message to you, you will be notified through email and on the Dashboard.  Please follow the link in the email or the link on the Dashboard to reply back to the broker.  We hope this feature will help you stay better in touch with brokers and stay closer to the market.

Give Feedbacks and Ask Questions To Landlords

We just added the ability for agents and brokers to give feedback and ask questions to landlords directly through YGL.  Landlords and owners want to stay closer in touch with their brokers and the rental market; they would love to get feedback from you on their apartments.  You can now directly ask the landlord a question or give the landlord feedback through YGL.

When you open a listing that is shared by the landlord through YGL, you will see a new “Give Feedback / Ask Question” link.  Clicking on the link will take you to the Messages page where you can exchange messages, including feedback and questions with landlords directly.

Landlords would love to hear from you.  We think this is a great way to build and improve relationship with landlords.  Give it a try and let us know what you think.
